Units, margins and input guidance

Use the document’s physical page size, not pixel dimensions. All five measurements use the selected unit; changing units converts the entered dimensions.

The starting sheet is US Letter, 8.5 × 11 in. Edit either edge for any paper format. Dimensions may be 0.001–100,000 in the selected unit.

0.25 in is an illustrative allowance, not your printer’s measured margin. Enter the required uniform unprintable or reserved border. This worksheet assumes centered placement and does not auto-rotate.

Fit, shrink only and actual size solve different problems

Fit uses the largest uniform scale that keeps the whole document within the available rectangle. It can enlarge a small document as well as reduce a large one. Shrink only applies that reduction when needed, but never enlarges. Actual size keeps the document at 100%, even when its boundary extends beyond the printable area. Custom percentage applies exactly the factor you enter to both dimensions.

Adobe’s page-scaling documentation describes these automatic and percentage-based print options. Different print applications and drivers may name or apply their settings differently; use their preview to confirm what will be sent to the printer.

How the print percentage is calculated

For a uniform margin m, subtract 2m from each sheet dimension. Call that printable width A and printable height B. If the document width is W and height is H:

Fit factor = min(A ÷ W, B ÷ H)
Fit percentage = 100 × fit factor
Output width = W × factor
Output height = H × factor

Shrink-only factor is the smaller of 1 and the fit factor. Actual-size factor is 1. A custom 125% setting gives a factor of 1.25. The aspect ratio is preserved; doubling the percentage doubles both edges and makes the page area four times as large.

Why a Letter document can print smaller on Letter paper

Start with an 8.5 × 11 in document and an 8.5 × 11 in sheet. Reserve 0.25 in on every side, leaving 8 × 10.5 in. Width allows a factor of 8 ÷ 8.5 = 0.941176; height allows 10.5 ÷ 11 = 0.954545. Fit uses the smaller one: 94.118%, producing approximately 8 × 10.353 in.

Actual size instead keeps 8.5 × 11 in. With centered placement, the document extends 0.25 in past every edge of this printable rectangle. A blank document border might absorb that loss, but a mark near the edge might be missing. The calculator reports geometry; it does not inspect the file’s contents.

A smaller document shows the difference between Fit and Shrink

For a 4 × 6 in document in the same 8 × 10.5 in printable rectangle, Fit uses 175% and produces 7 × 10.5 in. Shrink only leaves the document at 4 × 6 in. If a pattern, ruler or template needs its original physical dimensions, compare its required scale with the print-dialog setting and check a known measurement on a test sheet.

Custom scaling can also intentionally exceed the printable area. At 125%, the Letter example becomes 10.625 × 13.75 in; its centered boundary extends 1.313 in beyond each horizontal side and 1.625 in beyond each vertical side of the available rectangle. A single-sheet print cannot retain that entire rectangle within the stated margins.

Use the right dimensions and margin assumptions

Document page size and image pixels are different measurements. If you start with pixels, first use the pixels-to-inches converter at your chosen image PPI. For sheet dimensions and a blank canvas, use the paper-size tool. This worksheet handles the later decision about scaling an already sized page in a print dialog.

Real printers may have unequal margins, borderless enlargement, driver-level scaling or automatic orientation. This simple model uses one border allowance and an explicit orientation. Use Rotate document or Rotate paper to compare the two arrangements. For unequal margins, you can enter the measured printable width and height as the paper dimensions with zero margin; the fit percentage will then use that rectangle, but the centered-space result is relative to it rather than the physical sheet.
